STEPS AFTER FOUNDING YOUR ORDER COMMUNITY
Immediately after your registration, your TEIKEI order community will be activated and can become directly active. With your commitment, you contribute to building a community-supported food supply and connecting people in your region.
To ensure you are well prepared, you will find a step-by-step guide to the most important tasks and processes here.
1.1. As an organizer, you are the central contact person for your order community.
Your tasks include:
Coordination of Orders
– You keep track of orders and minimum order quantities in your hub.
Communication with Members
– You inform them about order deadlines, pickup dates and special features.
Organization of Pickup
– You ensure that products are provided at a suitable pickup location.
Contact Person for TEIKEI
– You are in contact with the TEIKEI team if questions or adjustments are needed.
1.2. Your commitment is valued:
• Private organizers receive 2 € per picked up box as credit.
• Resellers who offer TEIKEI products and serve as pickup locations receive 2.50 € per box as well as access to resale prices on the TEIKEI Agora.
This is how a strong, community-driven network grows that enables fair and transparent food supply.
2.1 Contact by TEIKEI Support
After your registration, the TEIKEI Support team will contact you. In an initial conversation, the framework conditions are clarified and the next steps are discussed to activate the community together.
2.2 Logistics Coordination
Once all organizational points are clarified, the TEIKEI Support team creates a concrete logistics plan. This defines binding:
· the timing and process of the first delivery,
· the rhythm of subsequent deliveries,
· the exact delivery location,
· as well as the contact persons on site.
All members of the community orient themselves to this plan. Once everything is coordinated, the community can be officially activated – and harvest shares can be registered.
3.1. Networking & Member Acquisition
Share your community's order link with interested people.
Use templates for flyers, newsletters and social media to reach people in your region.
A good snowball effect: When seven people each invite seven more, something comes to life - from an impulse becomes a community, and together you quickly reach the
necessary quantity for the first delivery. Join the Telegram group for organizers and experience how easily circles can be closed.
3.2. Minimum Order Quantity & Order Rhythm
The minimum order quantity for fruit boxes is 70 x 8 kg fruit boxes per delivery (approx. 50 households).
For olive oil there is no minimum order quantity.
Deliveries take place monthly, the exact deadlines for the cut-off dates can be found in the "Order Calendar & Availability" and on the Agora.
TIP: A delivery takes place from one Euro pallet (e.g. 70 x 8kg fruit boxes) per pickup location. - If your region doesn't reach the quantity,
you can join forces with other communities in the neighborhood. If no alliance is possible, the minimum order quantity must be met by your own community.
3.3. Requirements for the pickup location
Dry & protected (2 – 18°C).
1 to 1.5 m² space, time-limited for pickup days, for approx. 70 boxes (stackable).
Suitable places: Unpackaged stores, farm stores, garden houses, businesses or community places.
TEIKEI deliveries take place monthly around the last Wednesday of the month.
For your community to be included in the delivery, the following applies:
• BY THE DEADLINE: All orders must be completely finalized and the community's minimum quantity must be reached.
• MONDAY/TUESDAY: International delivery to the TEIKEI distribution warehouse in Germany or Switzerland.
• FROM WEDNESDAY: Start of national shipping to pickup locations.
• WEDNESDAY TO FRIDAY: Regional delivery to your community - depending on location, the exact delivery day can be between Wednesday and Friday.
NOTE: The exact delivery day will be individually coordinated after your community is founded. Based on this, YOU set the pickup times for the members.
If a member doesn't pick up on time: Document products and pass them on to others if necessary.
IMPORTANT NOTE:
The delivery date is not the same as the pickup date. It refers to the day when the products are brought from the farms to the delivery address.
Pickup by the community usually takes place the following day.
Keep your community regularly updated - especially during active ordering phases:
• Remind in time about order deadlines and inform about progress: Has the minimum quantity already been reached? / What quantities are still missing?
• Draw attention to special features in the current delivery month - such as holiday shifts, new products or seasonal changes.
• Use messenger groups (e.g. Telegram or Signal) to share short-term information such as delivery times or spontaneous changes directly.
• Additionally, you have an integrated communication tool available in the TEIKEI Agora - here you can easily reach all members, publish posts.
What happens if the minimum order quantity is not reached?
• Possibility of merging with another community nearby.
• Postponement to the next month to collect more orders.
• If necessary, contact the TEIKEI team to find alternatives.
Can pickup locations be unsupervised?
Yes! You can:
- Set fixed pickup times.
- Enable 24/7 access with a code.
What to do with damaged products or delivery problems?
Document damage with photos and report directly to TEIKEI. If products are missing, inform us for a credit or replacement.
What happens if a member doesn't pick up their order on time?
- Send reminder: If a member hasn't picked up their order, you can send a short message.
- Flexible solutions in the community: If the member can't come, they can authorize another person to pick up the order.
- Organizers' responsibility: According to the terms and conditions, responsibility for uncollected products passes to the organizers of the pickup location after the agreed pickup time ends. They can decide whether to pass on the products, store them temporarily, or use them otherwise. A refund or credit for uncollected products is not provided.
TIP: If products are not picked up, you can use them to draw new people in the community's attention to TEIKEI. Offer them for tasting – often this convinces interested people to get harvest shares themselves in the future.
